Privacy Policy

PBX SIP Trunking LLC ("PBX SIP Trunking", "we", "us", or "our") is a United States telecommunications provider. This Privacy Policy explains how we collect, use, disclose, and protect information when you use our services or visit our website. It is written primarily for customers and users located in the United States and reflects our obligations as a US voice service provider.
1. Scope
This policy covers information we handle as a business — for example, information about our customers, their authorized users, prospects, and website visitors. Where we transmit, route, or terminate voice traffic on behalf of a customer, that customer is responsible for the content of those communications and for its own end users; we act as the underlying communications provider.
2. Information We Collect
- Account information: Name, business email address, telephone number, company name, billing contact and payment details provided during registration or onboarding.
- Verification information: Information collected to satisfy our know-your-customer and know-your-business obligations and to confirm authorization to use telephone numbers, which may include business registration details, tax identifiers, and identity documents of authorized signatories.
- Service usage data: Call detail records (CDRs), including originating and terminating numbers, timestamps, call duration, routing and disposition, and related signaling data generated by your use of our voice services.
- Technical data: IP addresses, device and browser information, and cookie identifiers when you visit our website or access our portal.
- Communications: Records of correspondence with our sales, support, and compliance teams.
We do not routinely monitor or record the content of your calls. Where a customer enables a call recording feature, that customer controls those recordings and is responsible for obtaining any consents required under applicable federal and state recording laws.
3. Customer Proprietary Network Information (CPNI)
Some of the information we hold is Customer Proprietary Network Information ("CPNI") as defined in Section 222 of the Communications Act of 1934, as amended (47 U.S.C. § 222), and the Federal Communications Commission's implementing rules (47 C.F.R. §§ 64.2001–64.2011). CPNI includes information such as the quantity, technical configuration, type, destination, location, and amount of use of the telecommunications services you purchase, and related billing information.
We use, disclose, and permit access to CPNI only as permitted or required by law, including to provide and bill for the services you have purchased, to protect our network and other users from fraudulent or unlawful use, and to respond to lawful process. We maintain internal safeguards, authentication procedures for account access, and personnel training governing CPNI, and we do not sell CPNI.
4. How We Use Information
- Provision, operate, maintain, and improve our telecommunications services
- Authenticate account access, process billing, and manage your account
- Send service notifications, invoices, outage and maintenance notices, and support responses
- Perform customer vetting, business verification, and number-authorization checks
- Detect, investigate, and prevent fraud, toll fraud, spoofing, robocalling, and other abuse or unlawful use of the network
- Respond to industry traceback requests and regulatory and law enforcement inquiries
- Comply with our legal, regulatory, and record-keeping obligations
- Send marketing communications, subject to your right to opt out at any time
5. How We Share Information
We do not sell your personal information, and we do not share it for cross-context behavioral advertising. We may disclose information to:
- Underlying and interconnecting carriers: Signaling and call data necessarily passed to upstream carriers, downstream providers, and numbering administrators in order to originate, route, and terminate your calls.
- Service providers: Vendors who support our infrastructure, billing, fraud screening, and customer support, engaged under contracts that restrict their use of the information to providing services to us.
- Legal and regulatory authorities: As described in Section 6.
- Business transfers: In connection with a merger, acquisition, financing, or sale of assets, subject to this policy.
6. Law Enforcement, Legal Process, and Traceback
As a US communications provider, we may be required to disclose information or provide assistance in response to subpoenas, court orders, search warrants, and other valid legal process, and to comply with the Communications Assistance for Law Enforcement Act (CALEA) and other applicable authorities. We review requests for validity and scope, and we disclose only what the applicable process requires.
We also participate in industry traceback processes concerning suspected illegal robocall traffic and respond to lawful requests from the FCC, the Federal Trade Commission, state attorneys general, and the industry traceback consortium. Responding to these requests may involve disclosing call records and information about the customer that originated or transited the traffic.
Where we are legally permitted to do so, we will make reasonable efforts to notify a customer of process seeking their information, unless prohibited by law or court order or where notice would create a risk to safety or an investigation.
7. Emergency Calling (911/E911)
Where emergency calling is available with a service, dialing 911 transmits the registered service address and callback number associated with that endpoint to the appropriate Public Safety Answering Point and to third parties involved in routing and delivering emergency calls. This information is used for emergency response purposes and may be retained by those parties. Customers are responsible for keeping registered location information accurate and current, and for meeting their own obligations under Kari's Law and the RAY BAUM'S Act where they operate a multi-line telephone system.
8. Data Retention
We retain information for as long as necessary to provide the services, to enforce our agreements, and to meet our legal and regulatory obligations. Call detail records and related billing records for toll services are retained for at least eighteen (18) months in accordance with 47 C.F.R. § 42.6, and may be retained longer where required for regulatory, traceback, fraud, tax, audit, or litigation purposes. You may request deletion of account data, subject to these retention obligations.
9. Your US Privacy Rights
Depending on your state of residence, you may have some or all of the following rights with respect to personal information we hold about you:
- The right to know or access the personal information we have collected and how we use and disclose it
- The right to request correction of inaccurate personal information
- The right to request deletion of personal information, subject to legal exceptions
- The right to data portability
- The right to opt out of the sale or sharing of personal information, and of certain profiling — noting that we do not sell or share personal information as those terms are defined under state privacy laws
- The right not to receive discriminatory treatment for exercising these rights
These rights are provided under laws including the California Consumer Privacy Act ("CCPA") as amended by the California Privacy Rights Act ("CPRA"), the Texas Data Privacy and Security Act ("TDPSA"), and comparable laws in states such as Virginia, Colorado, Connecticut, and Utah. Certain information — including CPNI and records we are required to retain under FCC rules — is governed by sector-specific telecommunications law, and requests affecting it will be handled accordingly.

We will verify your request using information already associated with your account, and we will respond within the period required by applicable law. An authorized agent may submit a request on your behalf with written proof of authorization. If we deny your request, you may appeal by replying to our response; where required by state law we will explain any further options available to you, including contacting your state attorney general. We honor opt-out preference signals such as Global Privacy Control where required.
10. International Users — GDPR and UK GDPR
Our services are directed to businesses in the United States, and we store and process information in the United States. If you are located in the European Economic Area, the United Kingdom, or Switzerland and we process your personal data, you may have the following rights: access, rectification, erasure, restriction of processing, data portability, objection to processing, and the right to lodge a complaint with your supervisory authority. Where we rely on consent, you may withdraw it at any time.

11. Cookies
Our website uses strictly necessary cookies for session management and security, and analytics cookies to understand how visitors use our site. You can manage cookie preferences through your browser settings. We do not use cookies for cross-context behavioral advertising.
12. Security
We maintain administrative, technical, and physical safeguards designed to protect information, including encryption in transit, encryption of stored data, role-based access controls, authentication requirements for account and CPNI access, logging, and periodic review of our controls. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
13. Children's Privacy
Our services are sold to businesses and are not directed to children. We do not knowingly collect personal information from anyone under 16 years of age. If we learn that we have done so, we will delete it.
14. Changes to This Policy
We may update this policy from time to time. We will revise the "Last updated" date above and, where changes are material, provide notice by email or through a notice on our website. Your continued use of our services after the effective date constitutes acceptance of the updated policy.
